Privacy Statement

Jurnal Kebidanan Khatulistiwa (JKK) is committed to protecting the privacy and confidentiality of personal information collected through its journal website and editorial processes. Personal information is used for the administration, peer review, publication, and preservation of scholarly work, as well as for journal-related communications. Such information must be handled responsibly and must not be sold or disclosed for unrelated marketing purposes.

1. Information Provided to the Journal

Information provided through registration, manuscript submission, peer review, or correspondence may include names, email addresses, institutional affiliations, countries, ORCID identifiers, research interests, and professional profiles. The journal also receives manuscripts, reviewer reports, declarations, and correspondence associated with its editorial activities.

Where payment administration is applicable, relevant billing details and payment confirmations may also be requested. Users should not submit unrelated financial information, passwords, or unnecessary personal identification documents.

Users are responsible for providing accurate information and avoiding the inclusion of personal data that are unnecessary for the stated journal purpose. Authors who provide information about co-authors must ensure that their co-authors are aware of the submission and the intended use of their information.

2. Purposes of Use

Personal information is used as necessary to:

  • Create and administer user accounts and manuscript submission records.

  • Communicate with authors, editors, and reviewers regarding submissions, editorial decisions, and review assignments.

  • Organize peer review and manage authorship, competing interests, and research-integrity concerns.

  • Prepare accepted articles and their metadata for publication, discovery, indexing, and digital preservation.

  • Administer applicable publication fees and related financial records, where relevant.

  • Maintain website functionality and security and deliver journal-related notifications according to user preferences.

Any optional promotional or informational communications must be handled in accordance with the journal's applicable policies and user preferences. Declining optional communications does not affect manuscript assessment or access to published articles.

3. Information Published with Articles

Publication necessarily makes certain author information publicly available. This normally includes author names, institutional affiliations, contribution statements, and relevant funding and competing-interest declarations. ORCID identifiers and a designated correspondence email address may also appear in the published article or its metadata.

Authors should carefully review these details before publication and inform the editor of any legitimate privacy or safety concerns. Unnecessary private contact details, residential addresses, and personal identifiers should not be included in manuscripts.

Published articles and their metadata may be distributed to scholarly discovery services, indexing databases, identifier-registration agencies, and digital preservation services. As a result, publicly available information may be searchable and retained outside the journal's website.

Public and confidential information: Information intended for publication forms part of the scholarly record. Account credentials, private editorial correspondence, and confidential peer-review materials are not made public merely because an article has been published.

4. Confidentiality and Necessary Disclosure

Access to non-public submission information is restricted to authorized individuals who need it to perform their journal-related responsibilities. Editors and reviewers must treat unpublished manuscripts, review reports, and related communications as confidential.

The journal follows the anonymity arrangements described in its Peer Review Process. Identifying information must not be included in reviewer-facing files when doing so would compromise a double-blind peer-review process.

Limited disclosure may be necessary to authorized publishing service providers, institutional administrators, or relevant bodies addressing documented research-integrity concerns. Disclosure may also be required to meet applicable legal or institutional obligations. In such cases, only information relevant to the stated purpose should be shared, with appropriate confidentiality safeguards.

Authors must protect research participants' personal information and obtain appropriate informed consent for identifiable material when required. Sensitive raw data must not be submitted as publicly accessible supplementary files without a justified basis and appropriate safeguards, particularly when research involves patients, pregnant women, mothers, children, or other human participants.

Confidential manuscripts, personal information, and peer-review materials must not be uploaded to artificial intelligence (AI) services in ways that violate the journal's applicable Artificial Intelligence Usage Policy or confidentiality obligations.

5. External Services and Website Technologies

The journal website may use session cookies and technical logs to support user authentication, navigation, and security. Depending on the services used, technical information may include IP addresses, browser information, access times, and requested pages.

External forms, visitor counters, embedded resources, and linked services may process information under their own privacy policies. Users should review those policies before providing personal information through external services. Information collected through journal-related external forms should be handled consistently with the purposes for which it was collected.

Users can manage cookies through their browser settings. Blocking cookies or external resources may affect certain website functions. Questions about services used on a particular page may be directed to the journal's Editorial Office.

6. Security and Retention

The journal and its institutional administrators are responsible for applying appropriate access controls and safeguards to non-public information. Users must protect their account passwords and promptly report suspected unauthorized access.

Personal information should be retained only for as long as necessary to fulfil its stated purposes, including editorial accountability, financial administration where applicable, dispute resolution, and compliance with relevant institutional or legal requirements. Information that is no longer needed should be securely deleted or anonymized where appropriate.

Published articles and essential publication metadata are normally retained as part of the permanent scholarly record. Closing a user account does not automatically remove published authorship information, published articles, or records necessary to document editorial decisions and publication history.

7. Privacy Requests and Contact

Users may contact the journal's Editorial Office through the official Contact page to ask how their information is used, request correction of inaccurate personal details, change communication preferences, or request account closure or deletion of information that is no longer required.

The journal may request proportionate verification of identity before acting on a request. Requests will be assessed in light of confidentiality, editorial accountability, the integrity of the published scholarly record, and applicable legal or institutional requirements. Where a request cannot be fully fulfilled, the journal will explain the reason and, where appropriate, identify an available alternative.

Concerns about unauthorized disclosure or exposure of confidential information should be reported promptly. Reports should include sufficient information to identify the issue without unnecessarily disclosing additional sensitive data.

This Privacy Statement will be reviewed and updated when relevant information-handling practices change. Material changes will be communicated to affected users as appropriate.
